Recommendation to Amend Contracts with to Increase Funding for Systems Development Contract Work At its June 10, 1994 meeting, the Board approved awarding contracts for systems development services to Accurate Information Systems, Inc., and Telos Consulting Services. These contracts are Basic Ordering Agreement (BOA) arrangements, where individual task orders are issued on a competitive basis. The contracts were funded from the Information Management Fiscal Year 1993-94 Budget. It was contemplated that the contracts would be modified to add funding in the future from approved budgets as system development requirements were identified and task orders issued. The selection criteria used to determine awarding of these task orders includes evaluating the quality of technical proposals, cost effectiveness, and project management qualifications. To date, six task orders have been awarded to Accurate Information Systems, Inc., and four to Telos Consulting Services for $289,034.81 and $229,468.93 respectively. The performance of the contractors has been satisfactory and has met District expectations. Five additional tasks (Attachment 1) are scheduled to be awarded by May 1, 1995. The estimated cost to complete the work on these task orders is $341,000. Since the estimated cost to complete the work on these task orders exceeds the amount of funding in the existing contracts, the contracts must be amended to include additional funding. Staff recommends that both contracts be amended to increase the amount by $170,500 for each company for a total increase of $341,000. Funds for these tasks are included in the approved Fiscal Year 1994-95 Budget for Planning, Transportation and Information Management. This recommendation was reviewed and approved by the Administrative Committee on March 23, 1995. THEREFORE, IT IS RECOMMENDED THAT YOUR BOARD --Authorize the Chairman of the Board to execute amendments to the District's contracts with Accurate Information Systems, Inc., and Telos Consulting Services in an amount of $170,500 each for the continuation of systems development services.
